DESCRIPTION: Reporting to the University Dean of Student Affairs, the Executive Assistant (EA) provides advanced, diversified, and confidential administrative support to both the University Dean and the Sr. Associate Dean of Student Affairs. This position manages the daily and varied needs of both administrators, to include their calendars. The EA serves as a front-facing face of the division and also assists with the oversight, operations, and administration of the Student Affairs Division. The position requires an individual with a high level of initiative, exceptional organization and communication skills and adaptability to an ever-changing environment. The position provides the opportunity to manage budgets, interface with both the campus community and external stakeholders, and to continue building the infrastructure of a changing division. Strong interpersonal and writing skills and the ability to problem solve, work independently and exercise independent judgment in a team-oriented environment are essential to the position.
The duties and responsibilities include, but are not limited to, the following:
•Progressively anticipate, analyze, and meet the administrative demands of the office, multi-tasking to effectively handle varied activity and frequently changing priorities.
•Make independent decisions regarding information to be forwarded to other staff members for action and/or follow-up on behalf of the University Dean and/or Sr. Assoc. Dean. Direct internal and external inquiries to appropriate departments and/or staff members and ensure situations are resolved.
•Manage division budgets and expenditures. Process invoices and expense reports; track all required documentation.
•Maintain the University Dean and Sr. Associate Dean calendars. Prioritize matters requiring attention. Facilitate the communication of information and directives both up and down division’s chain of command. Act as primary contact for all matters related to the University and Sr. Associate Deans schedule and activities.
•Communicate effectively with internal administrative and academic offices, and the external community, to ensure strong working relationships are built and maintained.
•Draft memos, policies and the like, develop agendas and take minutes at various meetings, to include meetings of the Board of Trustees.
•Additional duties as assigned.
MINIMUM QUALIFICATIONS: Position requires a high school diploma or equivalent. Ten (10) years of administrative support experience within a complex organization. Proficient in a variety of Windows-based computer programs including MS Outlook, Word, Excel, PowerPoint. Interpersonal and communication skills with the ability to interact effectively with constituents at all levels required.
Effective writing and verbal skills, as well as the ability to manage conflicting demands. Competent handling of confidential and sensitive issues with judgment, discretion, and diplomacy.
Preferred qualifications include bachelor’s degree, experience in higher education, strong technical experience to include experience editing web-based content. Experience managing, planning, and coordinating schedules. Demonstrated organizational skills and ability to promote process improvements to create institutional efficiencies. Advanced budget management experience and MS Excel skills with the ability to learn college operational and financial systems. Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.
